What is Toqan Spaces?

This is a feature that allows you to set up a workspace that is customised just for you and those you want to share it with.

If you’re the head of human resources in your organisation, you can set up a Space containing all your company policies that you can share with everyone in your business who has access to Toqan web. This can be their first port of call when asking about leave, for example, instead of using their time, a line manager’s time or an HR manager’s time to answer a simple question.

If you’re in marketing, you could add your company’s brand identity documents or brand kit to ensure that all copy, designs and ideas fall within the boundaries of your brand kit. No more uploading the same documents over and over or giving the same instructions over and over.

There are many other examples of how Spaces can benefit you so experiment to see what works well for you.

Think of this as personalisation on another level that can help you to get the outcome you want, using documents you’ve provided to Toqan. It combines the best of your knowledge base with what Toqan can do.

Who is it for?

Spaces is for anyone who references the same set of documents, prompts or background instructions frequently. It’s a way to customise Toqan to do exactly what you want it to do for specific things.

A Space can be used on a private level – for example, if you have a specific way of writing, you can share examples and instructions with Toqan that it will reference every time it generates copy for you.

Or you can create Spaces to share with others, as mentioned in the examples above. You could also share on a team level – for example, you work as a group of copy editors using the same reference documents and follow the same style guides.

Who can create Spaces?

Anyone who has access to Toqan web can create a Space. You are the owner of the Spaces you create. If you share with others, they will be able to see the files you’ve uploaded and the instructions you’ve given. They will also access the most updated version – every time you update it, they’ll see that version.

You can set up multiple Spaces.
